Donations during System Outage

Policy and Principles

“Contributions should be verified and recorded on the Sunday they are received. A member of the bishopric and a clerk, or two members of the bishopric, open each envelope together. They verify that the funds enclosed are the same as the amount written on the Tithing and Other Offerings form.” (General Handbook: Serving in The Church of Jesus Christ of Latter-day Saints, 34.5.3, Gospel Library).

“Members who are responsible for Church funds must never leave them in the meetinghouse overnight or leave them unattended at any time” (General Handbook, 34.5.5).

STEP 1

Help Center:

If LCR is unavailable, account for tithing and other offerings as follows:

1. Open and verify the amount on the Tithing and Other Offerings form (donation slip) and the amount of money in the envelope.

2. Put all the donation slips in one stack and all the money in another.

STEP 2

Help Center:

Use an adding machine to balance the amount on the donation slips. You should have a grand total for all the donation slips and totals for each category (Tithing, Fast Offering, General Missionary, Ward Missionary, General Offerings, and for each amount specified in Local). Add the category totals together. The grand total and the total of all the categories should be equal.

STEP 3

Help Center:

Count the money and complete a deposit slip. The total amount of money should equal the total of the donation slips.

STEP 4

Help Center:

File the adding machine tape, a copy of the deposit slip, and the donation slips in a weekly file. Deposit the money in the bank the same day you prepare the deposit slip.

STEP 5

Help Center:

When LCR is available again, enter the amounts on the donation slips in LCR as a separate batch for each missing week.

STEP 6

Help Center:

File the ward copy of the Deposit Report and the Tithing and Offerings Batch Report in the same file with the adding machine tape that was used to keep track of the deposit while the computer was inoperative.

LCR Procedures

If LCR is unavailable because of internet or other issues, do the following:

  1. Contact the Global Services Department (GSD).
  2. Until LCR is available again, manually account for tithing and other offerings. Do the following:
    1. With a member of the bishopric or stake presidency, open each donation envelope and make sure that on the Tithing and Other Offerings form, the category amounts added together equal the total amount and that the actual money is the same amount as the total reported on the form.
    2. Put all the money in one stack and all the Tithing and Other Offerings forms in another stack.
    3. Record the balance of the amounts on the forms for each category, and make sure they total properly.
  3. Count the funds. Ensure that the total amount of the actual funds is the same amount as the total of the funds reported on all of the forms. Complete a deposit slip.
  4. Deposit the money in the bank the same day you prepare the deposit slip. Use a night depository when depositing on Sunday.
  5. Securely file the manual accounting, a copy of the deposit slip, and the Tithing and Other Offerings forms together.
  6. When LCR is available again, do the following:
    1. For missing batches, enter each week’s Tithing and Other Offerings forms in LCR as a separate batch. There should be a separate batch for each individual deposit made while LCR was unavailable.
    2. Put the ward copy of the Deposit Report and the Tithing and Offerings Batch Report in the same file with the manual accounting that was used to keep track of the deposit while LCR was unavailable.
